When Off The Hook Bookkeeping was small, only a few clients and no staff, having all my knowledge and processes in my head was fine. As the business grew beyond my own capacity, I found myself constantly:
- doing repetitive tasks over and over again
- switching between clients and losing track
- feeling overwhelmed keeping track of client information and lodgments
- frustrated with employees not upholding standards
If you plan to stop trading your time-for-money, you need systems. Although it takes a bit longer to create a process, you only need to do it once! Stopping to make a checklist, or create form, can slow you down in the early days, but in the long-run it means my business is less reliant on you.
Having every processes, checklists and workflows in place can feel like an unattainable goal, especially if you don't have the right tools. Unfortunately, the quest for the ‘right tools' can consume a lot of your time and money, only to discover that tool isn't quite right for you.
Most apps are already built for you, and can only be customised to a small extent. However, Airtable is highly customisable, allowing you greater flexibility in how you collect and organise information.
I've been using Airtable since 2019, and have learned it inside out, although they often add new features. Learn from me, or purchase any of my templates, and you will get better results than I did, faster than I did, and with a lot less overwhelm.

What is airtable?
is the free version enough for me?
Like all software apps, there is a free version and two paid levels. Usually, the free versions of software aren't sufficient for long-term use, and are designed more as a way for you to ‘try it out' before committing to a paid version.
We recommend the free version of Airtable which is more than enough for most small businesses.
What's in the paid version?
We find that the paid version is useful if you need the following features (and you probably won't!):
- Syncs: if you want to sync automatically (instead of manually) or if you need to sync one base/table to more than one other base/table (you probably won't need to).
- Apps: these are add ons that allow you to add graphs or different features to your bases/tables. We don't use these often and you can probably live without them!
- Automations: set and forget various tasks to happen automatically, such as creating records, updating records and sending basic emails (they have Airtable branding on them).
- Custom branding and colours: add your own logo to forms and choose from a wider range of base/customisation colours. If you're embedding forms onto your website you won't need this anyway.
Is it hard to learn and use?
Airtable provide a lot of training, and so do we! Use Airtable's online training videos and help articles to learn the functions of the app. Learn from Savvy and our members industry specific ways to use the app.
Once you learn the basics, if building your own isn't your ‘cup of tea', then you can use ours, access Airtable's large selection of pre-made templates, or find templates made by others in the Airtable Marketplace.
